Frequently Asked Questions
Common questions about accessing and syncing QuickBooks Desktop with QBWebSync. Still unsure? Get in touch or try a free demo.
Does QBWebSync move my company file to the cloud?
No. Your QuickBooks company file (.QBW) stays on your PC. A lightweight agent mirrors the data to a secure web portal — the file itself is never uploaded.
Which QuickBooks versions are supported?
QuickBooks Desktop 2022 or newer, 64-bit — Pro, Premier and Enterprise (US editions).
Is the sync really two-way?
Yes. Records you create or edit in the portal — customers, invoices, payments, bills — are written back into QuickBooks Desktop automatically, with echo-suppression and conflict detection so both sides stay consistent.
Can multiple people use it at once?
Yes. Unlike Remote Desktop, several team members and your accountant can work in the browser at the same time, without extra QuickBooks seats.
Is my data secure?
Access is per-user and the connection is encrypted. Your company file stays on your own computer, so you avoid emailing exports around or exposing a remote-desktop session to the internet.
How is this different from QuickBooks Online?
QuickBooks Online is a separate Intuit product you migrate to. QBWebSync keeps your existing QuickBooks Desktop and simply gives it secure browser access — no migration, no feature re-learning.
How is this different from hosting QuickBooks?
Hosting runs the full Desktop app on a remote Windows server (per-seat fees, remote-session UI). QBWebSync leaves QuickBooks on your PC and gives you a fast, native web portal instead of a remote screen.
What can I do in the web portal?
View and search customers, vendors and items; create and edit invoices; receive payments; enter and pay bills; and run live financial reports.
What reports can I run?
Live Profit & Loss, Balance Sheet, and A/R and A/P aging, pulled straight from QuickBooks — each exportable to Excel or PDF in one click.
Can my accountant access it?
Yes — give your accountant or bookkeeper their own secure login to the portal, no additional QuickBooks license required.
Does my PC need to stay on?
The PC running QuickBooks Desktop needs to be reachable for data to sync. Once records are mirrored to the portal they remain viewable, and changes reconcile on the next sync.
How long does setup take?
A few minutes: sign up, run the QBWebSync Agent on the QuickBooks PC (the pairing code is built in), approve the connection in QuickBooks, and sync.
What does it cost?
Start with a free demo on your own file. Paid plans are billed monthly and include two-way sync and the full report suite — see the pricing section on the home page.
Do I need to be technical to install it?
No. The agent is a guided install and the pairing is automatic. If you get stuck, our team helps you get paired and syncing.
